SUPERVISOR/OPERATION PERSONNEL :
POSITION TO WHICH THE SUPERVISOR REPORTS : MANAGING DIRECTOR
POSITIONS WHICH THE SUPERVISOR SUPERVISES : CONTROL ROOM

JOB PURPOSE/OBJECTIVE :
To manage the Tracker and Control Room, ensuring duties and requirements are carried out effectively and efficiently, as well as providing a participative management role to ensure operational requirements are met. Building relationships with clients and corporate customers while protecting our products & services. Ensure smooth fleet operation.

ROLES AND RESPONSIBILITIES :
** Liaising with customers and ensuring customer service excellence
** Allocate all job tasks to the fleet controllers so as to maximize the efficient utilization of the fleet.
** Responsible for the total administration function relevant to all jobs carried out by the fleet.
** Assist in the coordination and operations of the fleet tracking system.
** Ensure that all clients are serviced within the agreed period of time and notified proactively should the service delivery not be possible.
** Liaise with Managing Director to ensure vehicles are available in line with maintenance requirements i.e. Breakdowns, incidents and accidents.
** Report on a weekly basis efficiency of the control room and customer feedback captured
** Ensure the interest and feedback of drivers and control staff is taken care of during management meeting
** Ensure control reports and handover summary submitted daily
** Ensure training of control and drivers is done, coordinate with admin manager on training schedules
** Ensure the existing business is well maintained through customer visits and feedback
** Prepare and regularly ensure smooth operation of the shifts for both control and drivers
** Communicate and ensure targets discussion with both control and the drivers including monthly review of performance
** Ensure proper working of the radio, phone and the radio charging system
** Ensure the vehicles are fuelled daily and they are mechanically sound
** Ensure all vehicle licenses are up to date

WORKING CONDITIONS :
** Report to work early enough to make sure all vehicles are clean and in good working condition.
** Make sure all drivers report to work and that they are in full company uniform
** Make sure all bookings and standing orders are handled well and on time.
** Have the communication skills to relay messages through a radio system and the telephone
** Utilizing professional telephone etiquette and must be able to give effective instructions to others
** Must be computer literate, familiarity with Microsoft excel, word, and outlook
** Must be able to sustain a high level of fair play, honesty and consistency
** Duties require the use of considerable initiative, judgment, and resourcefulness
** Position requires working under pressure to meet deadlines, expertise in dealing with people and situations involving complex issues, and establishing cooperative and productive work relationship
** Handles customer questions and complaints, communicates with customers, handles service problems politely and efficiently, always available for customers, follows procedure to solve customer problems, understands company products and services, maintains pleasant and professional image
** Meets commitments, works independently, accepts accountability, handles change, sets personal standards, stays focused under pressure, meets attendance/punctuality requirements
** Has good listening skills, builds strong relationships, is flexible/open-minded, negotiates effectively, solicits performance feedback and handles constructive criticism
** Understands duties and responsibilities, has necessary job knowledge, has necessary technical skills, understands company mission/values
** Keeps information organized and accessible, maintains clean/functional workspace, works systematically/efficiently, manages time well

REQUIRED EDUCATIONAL LEVEL, QUALIFICATIONS AND EXPERIENCE :
** 3 years experience in a similar position preferably in a taxi company
** KCSE B and above
** Degree in Business management/Business Administration
** A certificate in computer
** Driving experience will be an added advantage

REQUIRED SKILLS :
** Principles and practices of administration, supervision and training.
** Excellent oral and written communication skills.
** Strong general administration and organizational skills
** Excellent Interpersonal skills using tact, patience and courtesy.
** Operation of a computer and assigned office equipment.
** Analyze situations accurately and adopt an effective course of action.
** Meet schedules and time lines.
** Work independently with little direction.
** Able to work under pressure.
** Plan and organize work.
** Professional appearance in line with working within a corporate environment
